Privacy Policy

Utility Bills is a free tool for utility staff. We collect the minimum needed to run the service, we do not sell your data, and we do not run advertising. This page explains what we store and why.

What we collect

• Account details — your name, work email, and (optionally) your organization, provided when you sign up.
• Your preferences — the topic categories you follow, digest frequency, timezone, and notification settings.
• Your activity in the app — the bills you star, tracking/posture you set, notes you write, and feedback you send.
• Basic operational logs — standard server logs and email delivery/open events used to keep the service working and to fix problems.
• A visit log — which pages are viewed, the site that linked you here, and any campaign tag in the link, kept by us on our own server.

How we use it

• To score and rank bills against the topics you care about.
• To send the email digests, hearing reminders, and new-bill alerts you've opted into.
• To operate, secure, and improve the tool.

Email

Transactional and digest emails are delivered through Resend, our email provider. They process the message and your email address solely to deliver mail on our behalf. Every non-essential email includes an unsubscribe link, and we honor unsubscribe requests promptly. You can also change or turn off notifications any time in your settings.

Visit log, page recordings & error reports

To see which pages people use and where signup gets stuck, the site keeps its own visit log. Your browser stores a random ID (in local storage, not a cookie) so repeat visits count as one person. The log doesn't include your IP address. If your browser sends Global Privacy Control, the visit counts with no ID, referrer, or campaign at all. The log is deleted after 13 months.

We also use Microsoft Clarity to record how pages are used, such as where people click and how far they scroll, so we can fix confusing pages. Anything you type is masked in your browser before it is sent, and your notes, comments, name, and email address are hidden from the recordings. Clarity doesn't run if your browser sends Global Privacy Control or Do Not Track.

If a page breaks, an error report (the page, the browser, and the error, never your name, email, or what you typed) goes to Sentry so we can repair it.

What we don't do

• We do not sell, rent, or trade your personal information.
• We do not share your data with advertisers or data brokers.
• We do not use your activity for anything beyond running and improving this tool.

Sharing & service providers

We share data only with the vendors that make the service function (our email provider, hosting infrastructure, Microsoft Clarity, and Sentry), and only to the extent needed to provide the service. We may disclose information if required by law. Bill and legislative data itself comes from public sources such as LegiScan and the Tennessee General Assembly.

Data retention & your choices

We keep your account data while your account is active. You can request a copy of your data, correct it, or ask us to delete your account and associated personal data by emailing us. Deleting your account removes your profile, preferences, stars, and notes.
